Dalan — Apartment Management SystemLive

Apartment building management — rent, service fees, utilities, and the payment ledger.

Dalan — Apartment Management System

Built in house by qbittco, Dalan replaces error-prone spreadsheets with a mathematically rigorous financial ledger for residential landlords and property societies. Engineered with minor-currency poisha accounting, effective-dated rent revisions, caretaker audit trails, Bengali localization, and automated SMS alerts.

Why Spreadsheets Fail for Rental Properties

Most apartment owners in Dhaka track their buildings in a spreadsheet or a physical notebook. It works for a few months, until reality intervenes:

  • A tenant pays ৳15,000 against a ৳22,500 bill, with the rest coming via bKash three days later.
  • A caretaker collects cash from three flats, holds it over the weekend, and forgets which portion belongs to the generator fund versus the service charge.
  • A landlord agrees to a ৳1,500 rent revision starting next quarter, but accidentally updates the formula row today, recalculating past financial records.
  • Common generator fuel and water pump bills need to be divided only among currently occupied units, rather than vacant ones.

Dalan (দালান) was engineered by qbittco to replace makeshift sheets with an unshakeable financial ledger built specifically for the realities of property management in Bangladesh.

Core Architectural Guarantees

  1. Poisha-Precision Ledger (BIGINT Minor Units)
Financial numbers are never stored as floating-point decimals. Every taka is stored in minor units (1 taka = 100 poisha) as a 64-bit integer, eliminating IEEE 754 rounding drift. Calculations are converted to display format only at the user interface boundary.

  2. Derived Invoices & Many-to-Many Allocations
Invoices do not store a static, mutable status column. Instead, invoice status is computed at query time: \(\text{Balance} = \sum(\text{Invoice Lines}) - \sum(\text{Allocations for Non-Voided Payments})\) Overpayments roll forward effortlessly, partial payments apply across specific line items, and advance balances draw down cleanly without manual ledger balancing.

  3. Effective-Dated Fee Schedules with Exclusion Constraints
Fees and rent are stored as date-bounded intervals (daterange). Using PostgreSQL’s btree_gist extension, database-level exclusion constraints physically prevent overlapping fee schedules per unit. Future rent increases can be scheduled months in advance with full confidence that past billing cycles remain immutable.

  4. Bangladesh-Centric Payment Rails & Operations
Designed around local collection methods: Cash with caretaker handover tracking, bKash, Nagad, and direct bank transfers. Integrated with BulkSMSBD for automated billing notifications, payment receipts, and overdue alerts.

  5. Full Bilingual Localization (English & বাংলা)
Built with next-intl to provide complete native interfaces in both English and Bengali across all building, unit, billing, reporting, and maintenance management screens.

Features

Derived Ledger & Poisha Accounting

All monetary values are stored as 64-bit integer poisha (1 taka = 100 poisha) with zero floating-point drift. Invoice balances are dynamically derived from payment allocations, ensuring an audit trail that never goes out of sync.

Effective-Dated Rent Revisions

Rent and recurring service charges are modeled as effective-dated schedules with PostgreSQL exclusion constraints. Future rent increases can be scheduled in advance and apply automatically on their effective date without touching historical invoices.

Caretaker Cash Handover & Auditing

Tailored for property operations in Bangladesh. Caretakers log physical cash collections with timestamped audit logs, named receivers, and reconciliation summaries for the landlord before cash is handed over.

Submeters & Shared Utility Apportionment

Bulk monthly meter entry for unit electricity, gas, and water. Configurable shared-pool formulas apportion generator diesel, common-area lighting, and water pump bills cleanly across occupied units.

Tenant Portal & Login Codes

Occupants can review monthly itemized statements, payment histories, and download printable receipts via phone-number login codes without requiring complex passwords.

Automated SMS & Bilingual Interface

Native BulkSMSBD integration for instant rent notices, payment receipts, and overdue alerts. Full bilingual support in both English and Bengali (বাংলা) across all operational screens.

Questions
Why build a specialized apartment management system for Bangladesh?
Most global property management platforms assume credit cards, Stripe payment processing, and Western leasing legal frameworks. In Bangladesh, property management centers around caretaker cash collections, bKash and Nagad transfers, complex generator/pump utility apportionment, prepaid meters, and frequent manual adjustments. Dalan was specifically engineered to solve these exact workflows.
How does Dalan track caretaker cash collections safely?
Caretakers have a restricted staff role allowing them to log physical payments on site. Every entry records the timestamp, recipient name, and payment method into an immutable audit trail. Landlords can review daily or monthly cash-in-hand summaries before accepting handover.
How do tenants receive and view their bills?
Tenants receive automated SMS notifications with their monthly bill totals and unique statement links. They can log in to the tenant portal using an SMS login code (OTP) to view itemized bills, track past payments, and print official payment receipts.
How are rent increases managed without corrupting past records?
Rather than editing a lease column and accidentally rewriting historical figures, Dalan treats rent as an effective-dated fee row. You can agree on a rent revision in advance, and when the effective date arrives, Dalan's billing engine automatically bills the new amount while preserving past invoices with 100% mathematical fidelity.
